    We are proud to partner with community organizations for facility rental needs. If you'd like to host your event on our school grounds, please complete THIS DIGITAL APPLICATION at least 14 days before the event. Once the application has been submitted, it will be forwarded to our Facility and Maintenance Manager for review and approval. Questions can be directed to:

     

    Facility Rental Agreement

    Proviso Township High School District 209 is committed to serving the community by making school facilities available for educational, recreational, cultural, and civic activities when they are not in use for school purposes. Below are the guidelines and procedures for renting school facilities while ensuring that school operations and student activities remain the top priority.


    Rental Guidelines

    Eligible Groups

    Facility rentals are available to:

    • School-sponsored organizations and activities

    • Local government agencies

    • Nonprofit community organizations

    • Athletic and youth organizations

    • Religious and civic groups

    • Businesses or private groups for educational or professional development purposes

    Prohibited Uses

    District facilities may not be rented for:

    • Political campaign activities for specific candidates

    • Events promoting discrimination, hate speech, or violating district policies

    • Activities posing safety or security risks

    • Events involving alcohol, tobacco, or drug use

    • Fundraisers not directly supporting educational, nonprofit, or school-related causes

    Prohibited Event Types

    Personal social events and funerals are not allowed, including but not limited to:

    • Weddings or wedding receptions

    • Birthday parties (for any age)

    • Family reunions

    • Engagement or anniversary parties

    • Baby showers or gender reveal parties

    • Retirement parties

    • Private banquets, galas, or formal dinners

    • Holiday or themed celebrations

    • Traditional funeral ceremonies, memorials, wakes, or repasts

    • Fraternity/sorority events not related to education or professional development

    Our facilities are public institutions designated for educational and community engagement purposes and are not suitable for personal social gatherings or memorial services.


    Facility Use Guidelines

    All renters must adhere to the following:

    • Return the facility to its original condition after use

    • Food and beverages are allowed only in designated areas

    • No decorations, signs, or equipment may be attached to walls/ceilings without prior approval

    • Use of school equipment (microphones, projectors, etc.) must be requested in advance and may incur additional fees

    • Comply with all local, state, and federal laws

    • Only access areas specified in the rental agreement

    • Minors must be supervised at all times


    Rental Procedures

    Step 1: Submit a Request

    • Requests must be submitted at least 14 calendar days prior to the event.

    • Complete the electronic application form.

    • Once your requested dates/times are confirmed, the application will be sent to the building leadership for final approval.

    Step 2: Provide Insurance

    • Email required insurance documents to lttaylor@pths209.org.

    • Schedule a meeting with the Director of Operations to discuss equipment needs and fee assessments.

    Insurance Certificate Requirements:

    • General Liability: $1,000,000 per occurrence

    • Aggregate: $3,000,000

    • Personal & Advertising Injury: $1,000,000

    • Each Occurrence: $1,000,000

    • Fire Damage (any one fire): $50,000

    • Medical Expense (any one person): $5,000

    Certificate Holder Must Include:

    Additional Insured: Proviso Township High Schools

    Step 3: Receive Confirmation

    • The request is not approved until:

      • Application is complete

      • Signatures are secured

      • Insurance certificate is received

    • Once approved, you will receive a confirmation letter with cost details.
      You must bring this letter on the day(s) of the event.


    Additional Requirements

    • Applications must be filled out completely (typed or printed)

    • School activities take precedence over rental requests

    • If you cancel, notify the Director of Operations at least 3 days prior to the event to avoid custodial fees

    • Promotional materials must be submitted with your application for review

    • Each event requires a new application—your approval is only valid for the listed dates/times
